Development Database & Analytics Coordinator

Location: Columbus, OH

Primary Function

The Development Database & Analytics Coordinator is responsible for managing the data entry process of donations and ensuring timely acknowledgement; maintaining donor records with high standards of data integrity; utilizing Tessitura CRM to generate, analyze, and report pertinent information; and contributing to the success of CAPA and its shared fundraising services. This individual is detail-oriented and understands the importance of effective data management in strengthening connections with donors and patrons.

Duties and Responsibilities

  • Manage and/or Process gift entries for CAPA and/or assigned shared services organizations, ensuring timely and accurate recording and classification of donations.

  • Provide Data Entry Associate with appropriate supervision and coaching to complete duties in a timely manner.

  • Generate acknowledgement letters, monthly pledge payment reminders, and annual tax summaries, and maintain acknowledgement rules within Tessitura.

  • Collaborate with the Finance department to provide gift information for monthly and yearly reconciliation.

  • Maintain donor contact information, communication preferences, and other important details, and work with the Tessitura Administrator to address any gaps in data integrity.

  • Serve as the Development department’s Tessitura Power User for CAPA. This includes being a resource for questions from members of the CAPA Development team who serve shared service partners.

  • Establish campaign, appeal, fund, gift designation, and source structures in Tessitura.

  • Track fundraising efforts through proper use of contribution sources.

  • Provide regular reports on the status of contributed income.

  • Generate data for targeted lists and segments for fundraising efforts, including direct mail, tele-fundraising, and e-appeals.

  • Compile, format, and edit donor listings for accurate recognition and benefits in program books, annual reports, and other publications.

  • Help to identify and implement strategic policies and procedures to optimize the use of Tessitura through continual education and adopting and maintaining Tessitura current and best practices.

  • Analyze and report on trends to inform fundraising strategies.

  • Complete other assigned duties as needed.

Knowledge, Skills and Abilities

  • Experience with Tessitura or similar CRM is desirable

  • Proficient in MS Office

  • Excellent verbal and written communication skills

  • Strong attention to detail and ability to follow processes

  • Efficient organization, and time management skills

  • Skilled at problem-solving, prioritizing tasks, and multitasking

  • Professional and composed under pressure

  • Able to work both independently and collaboratively to meet the needs of CAPA and its partners

  • Enthusiastic representative of CAPA and shared services partners

Credentials and Experience

  • Bachelor's degree or equivalent experience

  • 2 years of experience in data entry and relational database management systems (experience with Tessitura preferred)

  • Willingness and availability to work evenings and weekends on occasion with notice.
