Executive Assistant

Location: New Haven, CT

Primary Function

This part-time position provides direct support for the Executive Director of the Shubert Theatre.

Additional Information

The pay range for this role is $20-24 per hour. It is estimated that this position will be working about 25 hours per week.

Duties and Responsibilities

· Manages the Executive Director’s calendar, phone, and mail communications for the Executive Director to staff, board and others outside of the Shubert Theatre as directed.

· Makes travel arrangements and schedules conference calls as requested.

· Creates presentations and informational packets/slides for use by the Executive Director in a wide variety of public and private meetings environments.

· Prepares meeting itineraries, agendas, and expense reports as requested for the Executive Director.

· Photocopies and collates materials produced for distribution.

· Maintains digital and hard copy files, records, and email for the Executive Director.

· Answers the main phone line to the theatre and screens calls for the Executive Director.

· Performs other duties as assigned.

Knowledge, Skills and Abilities

· Sound use of independent judgment in calendar management and coordinating meetings for the Executive Director.

· Discretion is of the utmost importance.

· Ability to create engaging and informative presentations in PowerPoint with advanced functionality is critical.

· Knowledge of office procedures and methods including telephone communications, typical office software such as Microsoft Office suite, and record keeping.

· Excellent business communication skills, including knowledge of style and format used for formal letters, memoranda, minutes, and reports.

· Knowledge of the theater industry is preferred.

· Ability to establish priorities, work independently, and proceed with objectives without supervision.

Credentials and Experience

· 3+ years’ experience in an executive assistant capacity.

Special Requirements

· Requires flexibility with schedule to accommodate needs of the organization.

· Occasional nights and weekends are required; the ability for Executive Director to make contact on urgent matters outside of office hours is required.
